• How the Signature Occasion Experience works

• Do I need permission from my hotel?

  Yes. Every hotel has its own policies regarding external suppliers and room access. After securing your Balloonology booking, we'll give you a ready-to-send message and information about Balloonology to share with your hotel. Written confirmation of the hotel's approval must be received by Balloonology at least 48 hours before your celebration. Once permission is confirmed and we have the appropriate hotel contact, Saph can coordinate the practical arrangements directly with the property where required.

• What happens if my hotel says no?

  Don't worry — a restriction doesn't always mean your surprise can't happen. We'll first establish what the hotel does and doesn't permit — it may relate to access before check-in, helium, wall or ceiling attachments, particular installation methods, or external decorators generally — and whether your installation can be adapted accordingly. If the property doesn't allow external decorators at all, Saph can talk you through the available alternatives, which may include choosing another suitable hotel, adapting the experience where possible or making alternative arrangements in line with your booking terms. We would never ask a hotel to work around its own rules.

• Will I have to coordinate everything with the hotel myself?

  No. We ask you to obtain the hotel's initial permission because the room reservation belongs to you. Once permission has been granted in writing and the hotel has provided the appropriate contact details, Balloonology can handle the practical installation arrangements directly with the property where required — so you're not left as the middle person.

• How does hotel coordination work?

  You request initial permission using the ready-to-send message we provide after booking, which links your hotel to our For Hotels & Properties information page. Once they've approved the installation in writing — at least 48 hours before your celebration — and given us a contact, Saph liaises with their team directly about set-up access, timing and anything specific to the property. Access, timing and permissions always remain at the discretion of each hotel, and having worked at a property before never means we assume permission next time.

• Can Balloonology recommend hotels?

  If you haven't booked your accommodation yet, Saph is very happy to guide you towards hotels and properties we have experience with, or that we believe may suit the celebration you have in mind. We don't describe hotels as 'Balloonology approved' unless a formal commercial relationship genuinely exists. Hotel policies can and do change, so permission always remains subject to the individual property at the time of your stay.

• Do all hotels allow decorations?

  Most hotels welcome tasteful styling, though each has its own policy and each decision is theirs. We'll give you everything you need to request permission, and Saph can take over the practical conversation once it's approved. If a property can't accommodate an external installation, we'll talk you through the alternatives.

• Can I personalise my celebration?

  Every celebration is personal. Colour palette, ribbon, message, floral notes, gift additions — we curate each detail with you in a private conversation before your date.

• How far in advance should I book?

  We recommend two to four weeks for Signature Occasion Experiences. Last-minute enquiries are always welcome — we'll do our very best.

• What's the difference between Signature Celebration and Signature Suite Experience?

  Signature Celebration is our primary experience for guests staying in standard hotel rooms. Signature Suite Experience is designed for guests staying in hotel suites — rather than styling a single room, we transform the entire suite into a cohesive, Pinterest-inspired environment. If you're staying in a suite, we recommend the Suite Experience so the impact matches the luxury of the space. Your price is confirmed as soon as you tell us where you're celebrating — simply choose your location on the packages page.

• What's included in each experience?

  Signature Celebration includes 35 helium balloons, your choice of ribbon, tea lights, helium heart entrance balloons, rose petals, a 3-phrase foil text display, and floor balloons if you'd like them. Signature Suite Experience includes everything in the Signature Celebration, with a larger, more abstract editorial decor approach — perfect for a highly Instagramable event in a suite setting.

• Are there any additional costs?

  Your experience price is fixed. The only occasional exception is hotel or venue parking: where parking charges apply, these are payable by the client and simply passed on at cost. We'll always confirm the exact parking cost with you before your booking is finalised. At most hotels parking is typically around £30, although some properties may charge more depending on their own rates.

• Which areas do you serve?

  London is the heart of Balloonology and where most of our celebrations take place. We also proudly accept bookings across the West Midlands. Simply choose your location when you reserve your date and the calendar will show the installation days available in that region — Fridays and Saturdays in London, Sundays to Wednesdays in the West Midlands.
