These Terms set out the basis on which Balloonology® delivers celebrations, coordinates hotels and works with third-party suppliers. Please read them alongside our Privacy, Cookie and Cancellation policies.

Business Identity

One business. Several names you may recognise.

Throughout this website, the names Balloonology®, Balloonology® London and The Occasion Concierge may be used interchangeably.

Balloonology® is the trading business responsible for providing celebration styling, concierge services and event installations.

Balloonology® London refers to the original trading identity and may continue to appear across legacy branding, social media accounts and previous marketing material.

The Occasion Concierge is the premium concierge service operated by Balloonology®.

For the purposes of these Terms & Conditions, Privacy Policy, Cookie Policy, Cancellation Policy and all customer agreements, the terms Balloonology®, Balloonology® London, The Occasion Concierge, “we”, “our” and “us” all refer to the same business unless otherwise stated.

Bookings are only confirmed once the required payment or deposit has been received. Until that point, dates, styling and coordination time are not held in your name.

A £100 refundable deposit is taken at the time of enquiry to secure your celebration date, planning time and diary reservation. The deposit is deducted from your final balance.

Deposits are refundable in full where Balloonology® is unable to fulfil your celebration, where the chosen hotel declines the installation, or where you cancel more than 14 days before your celebration date. Cancellations made within 14 days of the celebration date, and no-shows on the day, are non-refundable as the diary reservation and planning time cannot be recovered. Refunds are issued to the original payment method within 5–10 working days.

Remaining balances must be paid in full before the celebration date. Your celebration cannot be delivered while a balance remains outstanding.

The £195 Perfect Day fee covers planning, consultation, research and coordination services provided by Balloonology®.

Third-party purchases — including but not limited to restaurants, flowers, gifts, transport, experiences, tickets and similar items — are not included within the planning fee unless explicitly stated in writing.

Balloonology® will recommend and coordinate these services where requested, but the associated costs remain separate from the planning fee and are payable directly to the relevant supplier or as otherwise agreed.

Balloonology® is happy to liaise with hotels regarding access and installation where requested. However, hotel policies remain the responsibility of the hotel, and while we make reasonable efforts to confirm decoration policies, we cannot guarantee permission for decorative installations.

The Client is responsible for ensuring that their chosen hotel or venue permits decorative installations, and for complying with all hotel policies, house rules and safety requirements.

Any hotel security deposits, incidental charges, damage deposits, access fees, parking charges or additional hotel costs remain entirely the responsibility of the Client.

Balloonology® accepts no responsibility for paying or reimbursing any hotel-imposed charges.

The Client accepts responsibility for any damage caused by themselves, their guests or third parties attending the celebration.

Balloonology® will only accept responsibility where damage has been directly caused through our own negligent installation.

Balloonology® is not responsible for damage resulting from:

  • Guest misuse
  • Decorations being moved after installation
  • Removal of decorations by hotel staff or guests
  • Existing defects or damage within the venue

Clients remain responsible for all personal belongings, gifts, luggage, flowers, cakes and other personal possessions.

To the fullest extent permitted by law, Balloonology® accepts no responsibility for the loss, theft or damage of personal belongings on hotel or venue premises.

Where Balloonology® coordinates services such as florists, restaurants, photographers, videographers, chauffeurs, cakes, gifts or champagne suppliers, those suppliers remain independent businesses. Balloonology® is responsible only for coordinating those services and cannot accept responsibility for their performance, delays or cancellations.

Balloonology® cannot be held responsible for delays caused by hotel housekeeping, concierge instructions, room readiness, security procedures or other circumstances outside of our reasonable control.

Balloons are a decorative product and should be enjoyed with reasonable care:

  • Uninflated or burst balloons are a choking hazard and must be kept away from children under eight years and pets.
  • Keep balloons away from open flames, heaters, direct sunlight and hot lighting, which may cause them to burst.
  • Keep balloons away from sharp objects.
  • Foil balloons must be kept away from electrical equipment and overhead power lines.

Once handed over, the ongoing safe enjoyment of the balloons is the responsibility of the Client.

Balloonology® may photograph completed installations for portfolio and quality assurance purposes. No identifiable individuals will be published without explicit consent.

Photographs and videos of completed installations may be used across the Balloonology®, Balloonology® London and The Occasion Concierge website, social media, advertising and promotional materials.

No identifiable images of clients or guests will be used without their permission. Customers may opt out by notifying Balloonology® in writing before installation.

Where customers opt in, Balloonology® may occasionally send information regarding new services, seasonal collections, exclusive offers and celebration inspiration. Customers may unsubscribe at any time using the link in any marketing email.

To the fullest extent permitted by law, Balloonology®’s liability shall not exceed the total value of the booking except where liability cannot legally be excluded (including for death or personal injury caused by our negligence, or for fraud).

Balloonology® shall not be liable for any failure or delay in performance caused by circumstances outside of our reasonable control, including but not limited to severe weather, road closures, supplier failure, strikes, transport disruption, government restrictions, public health measures or acts of God.

These Terms shall be governed by, and construed in accordance with, the laws of England and Wales, and any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
